Advising and Enrollment Officer (f/m/d)

We offer accredited programs in our Business and Management, International Relations, Media Communications, and Psychology Departments.

We are looking for 2 team members to join our Admissions and Advising unit in the role of:

Advising and Enrollment Officer (f/m/d)
Full time (40 hours/week) - starting date: August 2022

The Advising and Enrollment Officer reports to the Head of Admissions and Advising and effectively supports newly-admitted, current, and study abroad students with degree planning to successfully complete their degree programs according to WVPU academic requirements.
As the main point of contact for course registration, the position holder is a key contributor to high student retention and success rates and must therefore demonstrate and communicate the requisite understanding of academic policies, curriculum, degree roadmaps, sequencing, and specific credit requirements for both American and Austrian-accredited diplomas.
Further, this position also provides support to the Admissions and Marketing teams to make sure resources are dedicated to the university’s overall student recruitment strategy.

Key responsibilities:
• Establish and maintain contact and regularly follow up with newly admitted students to make sure they are registered in their classes promptly
• Serve as main point of contact for advising and course registration matters and timelines for students
• Liaise with Webster St. Louis as needed regarding issues pertaining to the processing of transfer and advanced standing credits, course equivalencies, degree audit updates, and changes to programs
• Coordinate with other units to register Study Abroad and Erasmus+ students ahead of arrival and orientation dates

• Liaise with academic department heads, full-time faculty, and adjunct faculty for exceptional registration requests
• Coordinate with academic departments to ensure degree roadmaps and syllabi are up-to-date and accessible to students
• Monitor students’ academic progress and help with intervention activities for high-risk students
• Coordinate with Webster St. Louis in the recognition of students on the Dean’s List or Honor Roll
• Assist the rector’s and academic services office in ensuring graduation lists are accurate

Admissions and Marketing Support:
• Assist in local recruitment events, both virtual and on-campus
• Coordinate visits of WVPU faculty at international schools in and around Austria
• Occasionally represent WVPU as necessary, acting as back-up for the Heads of Admissions and Marketing

- University degree, (Bachelor equivalent)
- Minimum 3 years of relevant and progressively responsible work experience in a similar position
- Thorough familiarity with the US system of liberal arts education is a must

- Fluent in oral and written English; any other additional language of advantage
- Excellent communication skills (verbal, written, presentation and 1:1 collaboration)
- Good computer skills, specifically MS Office programs
- Handling of confidential information, using tact and discretion
- Service-oriented and professional competence; strong listening skills
- Collaborative spirit and team orientation
- Strong interpersonal skills and the ability to work adhere to confidentiality and discrete professional interaction

As required by Austrian federal law we are obliged to disclose the minimum annual gross compensation for this position, which amounts to EUR 35.616,42 (basis 40 hours/week); the final salary depending on your relevant experience and qualification.
